FAQ
Questions US companies ask us.
Working with Shamwari
How does Shamwari work with US companies?+
Shamwari partners with US companies that want to engage professionals based in Zimbabwe. We provide local employment and payroll administration services under an agreed contractual arrangement, helping clients manage employment processes, payroll and applicable statutory obligations.
Does Shamwari employ Zimbabwean workers?+
Under our agreed employee-leasing arrangement, Shamwari can serve as the local employer, subject to applicable legal and regulatory requirements. We manage the agreed employment administration and payroll responsibilities, while the US client directs the employee's day-to-day work. Respective responsibilities are defined in the relevant agreements.
How does international remote employment work?+
Today's best teams aren't limited by geography. Shamwari International Hiring Company helps U.S. businesses hire talented, qualified professionals in Zimbabwe who work remotely as integrated members of their teams—not as outsourced call center staff, but as valued colleagues contributing to everyday business operations. Shamwari serves as the local employer, managing payroll, taxes, benefits, and employment compliance in Zimbabwe, while U.S. companies direct their team members' daily work, responsibilities, and performance. This allows businesses to access skilled international talent without the expense and complexity of establishing a foreign subsidiary.
Does a US company need to register a company in Zimbabwe?+
No, not necessarily. Shamwari provides local employment and payroll services in Zimbabwe, enabling US companies to engage Zimbabwean talent without necessarily establishing their own local company.
Payroll & payments
How does payroll processing work?+
We invoice the client, collect and verify payroll information, calculate salaries and deductions, prepare payroll schedules, issue payslips, process payments and provide payroll reports. We also support applicable statutory compliance.
How often can payroll be processed?+
Payroll frequency is agreed with each client based on operational requirements and applicable employment law. Depending on the arrangement, payroll may be processed bi-weekly or monthly. Monthly payroll is a common option for salaried Zimbabwe employees. Additional payroll runs may be arranged where necessary, subject to approval and processing deadlines.
Who pays the employees?+
Shamwari generally processes salary payments using funds provided by the client. The US company pays Shamwari under the service agreement, covering agreed employment costs, statutory obligations, benefits and service fees. Payment procedures and deadlines are set before services begin.
How are PAYE and NSSA contributions handled?+
Where Shamwari is the responsible employer, we calculate and remit PAYE to ZIMRA, administer applicable NSSA contributions and handle other relevant statutory obligations. We maintain payroll records and support required statutory returns.
How are international payments handled?+
Shamwari invoices clients according to agreed commercial terms. US clients remit through the agreed banking channel, after which funds are reconciled and allocated. Arrangements account for currency, bank charges, exchange-rate differences and exchange-control requirements.
What happens if payroll information changes after the deadline?+
Changes submitted after the cut-off are reviewed to determine whether they can be included in the current run or require a subsequent correction or supplementary payment. We communicate the implications, including statutory adjustments.
Employees & benefits
How are employee benefits managed?+
Benefits are agreed according to employment terms, client requirements and applicable law, and may include medical aid, paid leave, bonuses and allowances. We administer the benefits in the service agreement without any extra costs.
How long does onboarding take?+
Straightforward onboarding may take approximately one to two weeks after the necessary information and approvals are received, depending on headcount, documentation, contract negotiation and payroll setup.
What happens when a new employee joins?+
We collect documentation, prepare employment contracts, confirm remuneration and benefits, obtain payroll and banking details, complete registrations and add the employee to payroll — coordinated with the client's start date.
What happens when an employee leaves?+
We confirm the separation date, review notice requirements, calculate final remuneration and entitlements, process deductions, update payroll records and complete statutory procedures, in line with employment law and contract terms.
Data, support & pricing
How is employee data protected?+
Personal and payroll information is handled confidentially and in line with applicable data protection requirements, using access controls, secure handling procedures and confidentiality obligations. Cross-border transfer requirements are also addressed.
Where is payroll data stored?+
Payroll data is maintained on agreed systems with appropriate access, retention and security arrangements. Details of the payroll system, hosting location and handling procedures are provided during onboarding.
Who should clients contact if there is a payroll issue?+
Each client has an agreed communication channel and designated contact for payroll and employment queries. Urgent issues are escalated according to agreed response procedures.
What payroll reports will clients receive?+
Reporting may include payroll summaries, salary schedules, gross/deductions/net pay, PAYE and NSSA schedules, payment records and reconciliations, onboarding and separation updates, leave and benefits info, exception reports and evidence of statutory submissions.
What services are included in the service fee?+
Employment administration, payroll processing, statutory compliance support, employee benefits administration, payroll reporting and employee exit management.
What services are available at an additional cost?+
None. All costs are included in our agreed service fee, so you can plan workforce costs with confidence and without unexpected charges.
